Introduction

At Geo Japan Billiard Club, we strive to ensure your complete satisfaction with our services. This Refund Policy outlines the terms and conditions for refunds and cancellations related to our services, including table bookings, membership fees, event tickets, coaching sessions, and merchandise purchases.

By making a purchase or booking with Geo Japan Billiard Club, you agree to this Refund Policy. We encourage you to read this policy carefully before making any purchase or booking.

Table Bookings and Hourly Rates

Cancellation Policy

For table bookings and hourly rate reservations:

  • Cancellations made 12+ hours before the scheduled time: Full refund of the booking amount.
  • Cancellations made 6-12 hours before the scheduled time: 50% refund of the booking amount.
  • Cancellations made less than 6 hours before the scheduled time: No refund will be issued.
  • No-shows: No refund will be issued for customers who fail to arrive for their booking without prior notice.

Rescheduling

We understand that circumstances may change. You may reschedule your booking without penalty if the change is made at least 12 hours before your scheduled time, subject to availability. Rescheduling requests made less than 12 hours before the scheduled time will be treated according to our cancellation policy above.

Service Interruptions

If you are unable to use a table due to technical issues, equipment failure, or other circumstances within our control, you will be offered:

  • A full refund for the unused portion of your booking
  • OR an alternative table (if available)
  • OR a credit for future use equal to the unused portion of your booking

Membership Fees

New Memberships

New membership purchases may be refunded under the following conditions:

  • Within 7 days of purchase: Full refund, provided the membership has not been used.
  • Within 30 days of purchase: Partial refund (50% of the membership fee), regardless of usage.
  • After 30 days: No refunds will be issued for membership fees.

Membership Renewals

For membership renewals:

  • Within 7 days of renewal and before the first use of renewed benefits: Full refund.
  • After 7 days or after using any membership benefits: No refunds will be issued for membership renewals.

Membership Transfers

Memberships are non-transferable between individuals. However, in exceptional circumstances, we may consider transfer requests at our discretion. An administrative fee of £25 applies to any approved membership transfers.

Event Tickets and Tournaments

Event Cancellation by Geo Japan Billiard Club

If we cancel an event or tournament:

  • You will be offered a full refund of the ticket price.
  • OR you may choose to transfer your registration to a future event of similar value.

Participant Cancellation

If you need to cancel your participation in an event or tournament:

  • Cancellations made 7+ days before the event: Full refund of the ticket price.
  • Cancellations made 3-6 days before the event: 50% refund of the ticket price.
  • Cancellations made less than 3 days before the event: No refund will be issued.

Ticket Transfers

Event tickets may be transferred to another person with prior notice to Geo Japan Billiard Club. Please contact us at least 24 hours before the event to arrange for ticket transfers. An administrative fee of £5 applies to ticket transfers.

Coaching and Lessons

Cancellation by Student

For individual or group coaching sessions:

  • Cancellations made 24+ hours before the scheduled session: Full refund or credit for future session.
  • Cancellations made 12-24 hours before the scheduled session: 50% refund or full credit for future session.
  • Cancellations made less than 12 hours before the scheduled session: No refund will be issued.

Cancellation by Coach

If a coach needs to cancel a session:

  • You will be offered a full refund.
  • OR you may reschedule with the same coach at no additional cost.
  • OR you may be offered a session with an alternative coach of equal or higher qualification.

Coaching Packages

For prepaid coaching packages:

  • Unused sessions: Refundable within 90 days of purchase, minus a 20% administrative fee.
  • Partially used packages: Refunds for remaining sessions will be calculated at the standard rate (not the discounted package rate), minus a 20% administrative fee.

Merchandise and Equipment

Return Policy

For merchandise and equipment purchased from Geo Japan Billiard Club:

  • Unopened/Unused Items: Full refund if returned within 14 days of purchase, provided the items are in original packaging and condition.
  • Defective Items: Full refund or exchange if returned within 30 days of purchase.
  • Opened/Used Items: No refund unless the item is defective or significantly different from its description.

Custom-Made Items

Custom-made or personalized items (such as custom cues or engraved products) are non-refundable unless they are defective or significantly different from the agreed specifications.

Shipping Costs

Original shipping costs are non-refundable. Return shipping costs are the responsibility of the customer, except in cases of defective items or our error.

Refund Process and Timeframes

How to Request a Refund

To request a refund, please:

  2. Provide your name, contact information, and the details of your purchase (date, amount, and transaction reference if available).
  3. Explain the reason for your refund request.
  4. For merchandise returns, include photographs of the items if relevant to your claim.

Processing Timeframes

Once your refund request is approved:

  • Credit/Debit Card Payments: Refunds will be processed within 5 business days. The funds may take an additional 3-10 business days to appear in your account, depending on your financial institution.
  • Bank Transfers: Refunds will be processed within 5-7 business days.
  • Cash Payments: Refunds will be issued in person at our facility. Please bring your receipt and a valid ID.

Documentation Requirements

To process your refund, we may require:

  • Proof of purchase (receipt, confirmation email, or order number)
  • Identification matching the name on the purchase
  • The credit/debit card used for the original transaction (for card refunds)
  • Additional documentation may be required for specific circumstances

Exceptions and Special Circumstances

Force Majeure

In cases of force majeure (such as natural disasters, government actions, or other events beyond our reasonable control), our standard refund policy may be modified. We will make reasonable efforts to accommodate affected customers on a case-by-case basis.

Medical Emergencies

In cases of documented medical emergencies that prevent you from using our services, we may offer more flexible refund terms or credits for future use, at our discretion. Medical documentation may be required.

Discretionary Refunds

Geo Japan Billiard Club reserves the right to approve refunds outside the terms of this policy on a case-by-case basis. Any exceptions made are done so at our sole discretion and do not constitute a waiver of this policy for future transactions.

Club Credits

In some cases, we may offer club credits instead of monetary refunds:

  • Club credits have no expiration date and can be used for any service or merchandise at Geo Japan Billiard Club.
  • Credits are non-transferable and cannot be converted to cash.
  • If you accept a club credit, you waive your right to a monetary refund for that transaction.

Changes to This Policy

We reserve the right to modify this Refund Policy at any time. Changes will be effective immediately upon posting to our website. Your continued use of our services following the posting of changes constitutes your acceptance of such changes.
